Congratulations on your engagement! Chances are you've been planning the big day for a long time. However, before you make any purchases, find your venue and adjust your theme to work in that location. You'll make better use of the space and enjoy a joyous and worry-free event.
Consider every aspect of this event from the perspective of your guests. If you have a friend who constantly carries a list, ask them to help in this planning, and plan for the following during the wedding:
Guests will bring gifts to the wedding venue. Provide a table for these packages and envelopes, and ask someone to monitor this space and greet guests as they enter the wedding space. This will make your guests comfortable and appreciated.
Guides guests to their seats. Traditional seating was split between the families of the bride vs the groom, but modern couples and weddings require more flexibility. If your guest is a friend to both of you, seating can be awkward. Provide ushers to guide people to their chairs, and make your guests feel welcome.
If you prefer that no cell phone photos or videos be taken during the wedding, instruct the ushers to make that request when seating guests. You could inform your guests that "the wedding will be videotaped and we want to see your faces, not your phones!"
After the wedding, review the following features of the reception, dinner and/or dance:
If the after-party will be somewhere other than the wedding location, provide a map in your program. Not all guests will have access to GPS.
Again, offer a gift drop-off table near the entrance.
Round tables allow for smaller groups and encourage conversation, rectangular tables allow for more people. Provide enough seating for all who've RSVP'd and discuss table size and room layout with event and party rentals Los Angeles. If a bar is provided, offer unassigned seating near the bar for latecomers and socializing. Provide access to additional plates and utensils near these tables if they need to be set quickly by your caterer.
Provide a seating chart and guides to lead guests to their chairs. Encourage guides to point out rest rooms in the venue.
For elderly guests, ask your caterer to provide waitstaff before the dinner for beverages prior to the service of the meal.
Set the cake table in a prominent spot that is out of room traffic and out of the sun. It should be the focal point of the room as guests enter.
Communication is key in any event set-up. Connect with your caterer and AAA Rents & Events to make sure you have adequate and comfortable seating in each venue. Contact friends and acquaintances who can provide support to make your guests appreciated, welcome and comfortable. Finally, relax and enjoy your day!
